Who we are

Studio Self-Made delivers Self-Made in 60 Days, the name we use for the Creator-Founder Accelerator. In this notice, "the Programme" means either name, and both refer to the same thing.

We are the data controller for the information you give us, which means we decide how it is used and we are responsible for looking after it.

The Programme is commissioned by Barnsley Metropolitan Borough Council and funded by Quickline Communications Limited. The Council is a separate data controller for the information we share with it, and it has its own privacy notice.

What this notice covers

It explains what information we collect about you when you apply for and take part in the Programme, what we do with it, who we share it with, and what rights you have.

What information we collect

When you apply

Your name, email address and phone number

Your age, so we can confirm you meet the 18 to 30 eligibility criteria

Your postcode and the local authority area you live in, so we can confirm eligibility and allocate you to a group

Information about your business or freelance work, including what you do, how long you have been trading, and company registration details where you have them

Your written answers about your goals, what you have already done to promote your work, and what you want from the Programme

Anything you choose to tell us about circumstances that have made starting or growing your business harder. This question is optional.

Which sessions you can attend

Any adjustments you need in order to take part, and whether you would like support with internet access or equipment

Your answer to whether you would like to be put in touch with business support services in your area

How you heard about the Programme

If you start an application and do not finish it

If you start an application and do not finish it, we may send you one reminder before applications close. We delete unfinished applications 30 days after the closing date.

We do not ask any questions about your background, ethnicity, gender, health or disability on the application form.

If you are offered a place

Your full address, date of birth and an emergency contact

Dietary requirements and any adjustments you need for the in-person days

Your community platform username

A short set of baseline questions about where your business is now, which we repeat at the end so we can see what changed

The work you produce in sessions and in your workbook

Messages and posts in the Programme community

We only collect and use these where you have given us separate written consent. See "Photographs, video and your story" below.

Equality monitoring

After you are offered and accept a place, we ask some optional questions about your background, such as ethnicity, disability, gender and whether you are the first in your family to start a business.

We do not ask these when you apply, and nobody assessing applications ever sees them. You do not have to answer every question; every question has a prefer not to say option, and the whole section can be skipped. It makes no difference to your place or to how you are treated. We use it only to check we are reaching people fairly, and we report it as anonymous group numbers, never in a way that identifies you.

Recording online sessions so participants can catch up

Our legitimate interests in supporting attendance and continuity, Article 6(1)(f). You are told at the start of every recorded session, and you can take part with your camera off.

Keeping financial and audit records

Complying with a legal obligation, Article 6(1)(c).

Equality monitoring

Your consent, Article 6(1)(a), and your explicit consent for the special category data involved, Article 9(2)(a).

Photographs, video, quotes and named case studies used in marketing and reporting

Your consent, Article 6(1)(a).

You do not have to give us any of the optional information. You do need to provide the information marked as required on the application form; otherwise, we cannot assess your application or offer you a place.

We do not use automated decision making or profiling. Every application is read and scored by two people.

Recording the online sessions

We record the online sessions so anyone who misses one can catch up. A few things we want to be clear about:

We tell you at the start of every session that recording has begun.

You can take part with your camera off, and you do not have to speak. Nobody is asked to explain why.

The sessions run on Google Meet, and recordings are stored in our Google Drive, in the same restricted folder as your other Programme records.

Recordings are shared only with your cohort, through the Programme community, and are deleted 8 weeks after the Programme ends.

We do not record in-person days, except for photography and filming, which are covered by your separate consent.

If a recording is ever going to be used for anything other than cohort catch-up, we ask for your permission on the consent form first. Recording for catch-up does not give us the right to use it in marketing.

Photographs, video and your story

We would love to share what you achieve, but only if you are happy for us to.

We ask for this separately, on a media consent form handed out at your first in-person session, and you can tick only the things you are comfortable with.

Saying no makes no difference to your place on the Programme or how you are treated.

You can change your mind at any time by emailing hello@studioselfmade.com. We will stop using your images and story going forward.

We cannot recall material that has already been printed or published, for example a printed report or a post that has been shared onwards, so we will always be clear with you about where something is going before we use it.

What you wrote in your application is different. It is used only to assess your application. We will not publish it, quote from it or use it in any marketing.

The content you create during the Programme belongs to you. We will not reuse your posts, videos or designs in our own marketing without asking you.

Who we share your information with

Barnsley Metropolitan Borough Council

As the organisation that commissioned the Programme, the Council receives participant contact details and records of the support you have received, so it can monitor and evaluate the Programme. The Council is a separate data controller and holds this information under its own privacy notice. We do not share your equality monitoring answers with the Council in a form that identifies you. Quickline Communications Limited

If you give separate consent for your photograph, video or named story to be shared with Quickline, we will share it. Without that consent, we do not.

Business support services in your area

There are free business support services across Sheffield, Rotherham, Barnsley and Doncaster. On the application form we ask whether you would like to be put in touch with the service covering your area, so it can tell you what other help is available.

If you say yes, we pass your name and email to Barnsley Council, which then passes them to the service covering your area. That is all we pass on. If you say no, or leave it blank, we pass nothing. Either answer makes no difference to your application. You can change your mind at any time by emailing hello@studioselfmade.com, although once your details have been sent to a support service, that service will hold them under its own privacy notice, and you would need to contact it directly.

Organisations that provide services to us

We use a small number of trusted providers to run the Programme. They act on our instructions and cannot use your information for their own purposes.

Youform, for collecting and reviewing applications

Proton Mail, for email correspondence with you

Google Workspace, including Google Meet for the online sessions, and Google Drive for secure storage of Programme records and session recordings

Canva, for your workbook

Youform stores form responses in Ireland and Proton Mail stores email in Switzerland, both of which the UK recognises as providing an adequate level of data protection. Both providers use a small number of technical suppliers based outside the UK and Europe, for example for security, email delivery and error monitoring. Where that happens, we check that appropriate safeguards are in place, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework. You can ask us for details.

The Programme community on Discord

Our Programme community runs on Discord. Discord is a separate company, based in the United States, and you sign up to it directly under its own terms rather than through us. That means Discord holds your account information itself, and we would encourage you to read its privacy policy.

You do not have to use your real name on Discord, and we would suggest you do not. We use it for community conversation, support and sharing resources only. Your application, attendance and Programme records are held by us in secure UK and EU-based systems, not on Discord. The server is deleted four weeks after the Final Showcase.

We will also share information when we are legally required to do so or when there is a serious concern about someone’s safety.

We never sell your information.

Where and how we keep it

Your information is held in secure, access-controlled systems protected by strong passwords and, where available, two-factor authentication. Only Emma Redfern and Graeme Tidd have routine access to participant records.

How long we keep it

Applications from people who are not offered a place

6 months after the selection round closes, then deleted from Youform and all local copies.

Applications that were started but never submitted

30 days after the closing date, then deleted.

Participant records, including attendance and Programme records

12 months after the end of our contract with the Council, then securely destroyed.

Financial and audit records

6 years, because we are required to keep them.

Recordings of online sessions

8 weeks after the Programme ends, then deleted.

Photographs, video and case studies you have consented to

3 years from the end of the Programme, or until you withdraw your consent, whichever is sooner.

Safeguarding records, where any concern is raised

6 years from the date the concern is closed, in line with the safeguarding provisions at section 8 of our Equality and Diversity Policy.

Barnsley Metropolitan Borough Council keeps the information shared with it for 6 years from the end of the project. After that, it anonymises the information and keeps it for evaluation and analysis. That is the Council’s retention period, not ours.

Your rights

Under data protection law you have the right to:

Ask for a copy of the information we hold about you

Ask us to correct anything that is wrong

Ask us to delete your information, in certain circumstances

Ask us to restrict how we use it, in certain circumstances

Object to us using it, in certain circumstances

Ask us to transfer it to you or another organisation, in certain circumstances

Withdraw your consent at any time, where we rely on your consent

To do any of these, email hello@studioselfmade.com. We will respond within one month. It costs you nothing, and it will not affect your place on the Programme.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office.

Changes to this notice

If we change how we use your information, we will update this notice and notify participants. Version 1.7 clarifies that business support referrals are passed to Barnsley Council, which then puts you in touch with the service in your area.
